Privacy Policy

How Cloudaid collects, uses, stores and protects the personal information you share with us, written in plain English and aligned to the Australian Privacy Principles.

This Privacy Policy explains how Cloudaid Pty Ltd (ABN 95 691 322 675) (“we”, “us”, “our”) handles personal information when you visit our website, use our pricing questionnaire (Find your plan), book a discovery call or get in touch with us. It covers the Cloudaid website and the managed cloud and IT services we provide to Australian businesses. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Information we collect

We only collect the information we need to answer your enquiry and deliver our services. In practice, that means:

  • Details you give us directly. When you answer our pricing questionnaire (Find your plan), book a discovery call or contact us, we collect your name, work email address, company name, phone number, your answers and the message or requirements you send us.
  • Service and account information. If you become a client, we hold the business and technical details needed to manage your environment, such as billing contacts and the systems we look after on your behalf.
  • Website and device information. Like most websites, our servers and analytics record technical data such as your IP address, browser type, the pages you view and the date and time of your visit.

We don’t ask for sensitive information (such as health, racial or political details) and would rather you didn’t send it. We also don’t knowingly collect information from children.

2. How we use your information

We use the personal information we collect to:

  • respond to your enquiry, send the plan summary you ask for and arrange a discovery call;
  • provide, manage and support the cloud and IT services you engage us for;
  • send you service-related messages, such as scheduling, incident notifications and invoices;
  • improve our website, services and pricing based on how visitors use them; and
  • meet our legal, tax and record-keeping obligations.

We only send marketing email if you’ve asked to hear from us, and every marketing message includes an easy way to unsubscribe. We do not sell your personal information.

3. Disclosure to third parties

We don’t trade or sell your personal information. We do share it with a small number of trusted providers who help us run the business, and only as far as they need it to do their job:

  • Email delivery. We use Resend to send transactional and enquiry emails. Your name and email address pass through this provider when we correspond with you.
  • Call bookings. Discovery calls are booked through Microsoft Bookings, so the details you enter when you book a call are processed by Microsoft.
  • Website analytics. We use Google Analytics to understand how our site is used. It processes technical data such as the pages you view, how you found us, your device and browser, and your approximate location. Google processes this data, which may happen outside Australia.
  • Hosting and infrastructure. Our website and application data are hosted with reputable cloud providers, on Australian-region infrastructure wherever practical.

Where a provider is located or stores data overseas, we take reasonable steps to make sure it handles your information consistently with the APPs. We may also disclose information if the law requires it, or to protect our rights, safety or property.

4. Data storage, security & Australian data residency

Keeping data safe is the core of what we do. We store personal information on secure, access-controlled cloud infrastructure and apply the same standards we recommend to clients. That includes encryption in transit and at rest, least-privilege access, multi-factor authentication and monitoring. Our practices are aligned to the Essential Eight and ISO 27001 controls.

For our website and client environments we choose Australian-region (Sydney) hosting wherever practical. Some providers, such as our email delivery service, may process data overseas; see section 3. We keep personal information only for as long as we need it for the purposes above or to meet our legal obligations, then securely delete or de-identify it.

No system is ever completely secure. While we work hard to protect your information, we can’t guarantee absolute security, so you share information with us at your own risk.

5. Cookies & analytics

Our website uses a small number of cookies and similar technologies to make the site work, remember your preferences and understand how it’s used. We use Google Analytics, which sets its own cookies (named _ga and _ga_*), to see which pages are useful so we can improve them. We don’t send your name or email address to Google Analytics, and we don’t use cookies to build advertising profiles of you.

You can control or delete cookies through your browser settings, but blocking some cookies may affect how parts of the site work. To stop Google Analytics on every website, use Google’s opt-out browser add-on.

6. Your rights: access & correction

You have the right to ask what personal information we hold about you, to request a copy of it, and to ask us to correct anything that’s wrong or out of date. Just contact us using the details below and we’ll respond within a reasonable time, usually within 30 days. There’s normally no charge to access your information, though we may need to verify your identity first. If we can’t give you access for a legal reason, we’ll explain why in writing.

7. Australian Privacy Principles (APP) alignment

Cloudaid is committed to handling personal information in line with the 13 Australian Privacy Principles set out in the Privacy Act 1988 (Cth). That means being open about what we collect and why, only collecting what we need, keeping it accurate and secure, giving you access to it, and using it only for the purposes we’ve described or that you’d reasonably expect. 8. Complaints

If you think we’ve mishandled your personal information, please tell us first. We take it seriously and want to put things right. Contact us using the details below with what happened, and we’ll investigate and respond within a reasonable time. If you’re not satisfied with our response, you can raise the matter with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
